Klarity is an AI platform designed to help you and your team capture your work, identify improvement opportunities, and create a structured steps around how work happens in minutes. This guide outlines how to leverage Klarity to efficiently document the reality of how your current state processes work.
How to use Klarity to represent your current state and generate documentation
Klarity supports three primary methods for generating process documentation:
- Companion: A continuous capture method that allows you to work as you work and updates multiple processes at the end of your session. .
- AI Interviewer: Conduct a real-time guided interview where Klarity's AI observes and captures your process walkthrough.
- Uploading Existing Files: Use pre-recorded videos (from tools like Zoom, Teams) and existing documents (docx, pdf, xlsx) to generate documentation.
When to use them

Best Practices for Recording Process Activities
- Record the entire activity from start to finish.
- Verbally explain what actions are being performed and why.
- Share the entire screen during the recording to capture all interactions.
- If full screen sharing isn't possible, provide detailed verbal explanations.
- Discuss relevant metrics, pain points, or other contextual details during the recording.

Option 1: Continuous Capture (Companion)
Navigate to app.klarity.ai, log in, and click the 'Companion' icon in the left navigation pane.
Steps:
- Configure role profile: Enter details about your role and the work you regularly do. (This will save)
- Start session & share screen: Click 'Start Session' and share your full screen to ensure Companion can see the work.
- Work as you regularly do: Perform your processes in the normal flow of your work. Don't worry about jumping around - Companion will piece together the activities later! You can pause, mute, or re-share your screen during the session.
- Review activity timeline: Every 30 minutes, Companion will produce an activity summary of the work it observed. Review and edit these during or at the end of your session.
- End session & submit: Click 'End Session' and click update activities to the process index. Klarity will then submit the steps you performed anonymously to the selected processes.
- Review coaching report & signals: Review your Companion summary and share signals for the rest of your team to improve with!
Options 2 & 3: AI Interviewer or Direct File Upload
Start by accessing Klarity & selecting your process. Navigate to app.klarity.ai, log in, and use the 'Process Index' search bar or navigation to find and select your target process. (This can be done from both the table view and the diagram view)
AI Interviewer
Select 'Start an AI Interviewer' to utilize the AI Interviewer for a guided, interactive session to represent the current state of how your process works today.
Steps:
- Configure Session: Allow microphone access, test your audio and select an output template (generally an SOP in the 'Start an Interview Session' section.
- Start Session & Share Screen: Click 'Start Session' and share your full screen or the relevant application window to ensure the AI Analyst can capture all work.
- Record Your Session: Perform your process from beginning to end. Verbally explain the steps, decisions, and important details as you go. You can pause, mute, or re-share your screen during the session.
- End Session & Review: Click 'End Session'. The AI may ask follow-up questions. Klarity will then generate your document, and you'll receive an email notification.
Existing File Upload
Select 'Upload Existing Files' to use pre-existing recordings or documents to represent your current state.
- Supported Formats: docx, pdf, xlsx, mp4, wmv, webm.
- File Limit: A maximum of 5 files per process.
- Pre-requisite: You must have existing recordings or documents that outline information about your process activity must exist. Use any capture software (Teams, Zoom, Google Meet) and save the recording.
Steps:
- Upload Files & Configure: Drag and drop your recording(s) and/or supporting documents into the 'Input Files' section. Select your desired 'Template' (e.g., Klarity Default SOP) and specify the 'Output Folder' under the 'Advanced' section.

Generate Document: Click 'Run Operation'. Klarity will analyze the content and generate your output in about 5 - 10 minutes. You will receive an email notification upon completion.
Reviewing your outputs:
You will receive an email notification once your output is ready.
Steps
- Review Output: Access the generated document via the email link. Review for accuracy and completeness
- Make Changes: Edit your document utilizing the AI companion or direct in application editor.
Best Next Steps
Utilize AI Advisor:
- Get rapid analysis on your specific process activity (e.g. 'create formulas that will help increase the efficiency of this process.')
Updating Process Details:
- Update the attributes about the process (e.g. turnaround time, work time, teams involved, annual occurrences).
